Social Committee Charter

Committee Structure:

Committee shall be comprised of no more than five (5) interested homeowners in good standing with the association. These owners shall be appointed by the Board of Directors.

The Board of Directors may remove any committee member at any time. The Board may cancel or create ad-hoc committees as the need arises.

The committee shall work with an assigned Board liaison and report directly to that individual. A majority of the committee members, present and voting, shall constitute a quorum. The committee shall meet no less than once per quarter and shall maintain minutes of all meetings, which shall be regularly approved by the committee and made available for distribution to the Board.

Committee Purpose:

The Social Committee's purpose is to advise and assist the Board in creating and providing social and recreational events which are geared to the interests and needs of the community. The intended result is improved neighborhood camaraderie, fellowship, and sense of community.

Social Committee Members:

Committee members are appointed by the Board of Directors. The committee is headed by a chairperson.

  • Brainstorm ideas for association social events.
  • Develop a list of proposed social events for the upcoming calendar year, including a proposed schedule and budget reflecting estimated costs for each event. This should be completed no later than the end of September of the preceding year to ensure the association is properly budgeted to support the events.
  • All activities and budget recommendations are to be presented to the board by the chairperson.
  • Association funds can only be used for events which are all-inclusive of the association members.
  • Coordinate and execute planned events.
  • Report activities to, and work at the direction of the board of directors.
  • Ensure that all receipts, associated with events that have taken place are properly submitted to the management company.
  • Prepare a committee report and present at board meetings.
  • Keep an inventory of all supplies / leftover supplies for / from each event.
  • Develop invitation flyers for each event and coordinate the distribution to owners after board approval has been obtained.
  • Implement a “Yard of the Month”, seasonal holiday decorating contest, and similar community engagement functions.
  • Welcome new owners to the community.
  • This committee charter was adopted by the Board of Directors the 6th Day of March, 2023 and is reflected in the minutes of the Association.
